How it works - Hotels

RATES

You provide us with competitive nett wholesale group rates. These rates may be included in advertised group packages and we’ll mark up a sample rate for each season to publish on Discover Travel & Tours websites as the hotel’s guideline group rates.

BIDDING

You don’t need to update your availability on line. All group bookings e-mailed to you will be “on request” and subject to availability, unless specific allocations have been agreed. When group enquiries are received you will be given the opportunity to quote more competitive rates to secure any individual piece of group business as market conditions dictate. All rates bid by the hotel will be marked up by the same percentage.

MEALS

Buffet or cooked breakfast should be included in all quotes. Dinner, when quoted, should offer a choice of menu for each course, plus hot drink.

GROUP SIZE / FREE PLACES

Registration assumes that you can accommodate a minimum of 21 persons and that you will provide one single room free of charge on the same board basis as the group with a minimum of 20 paying guests with an additional half twin for each 20 paying guests thereafter.

CONTRACTS

Each quotation accepted by a client will be confirmed to you by e-mail with a Discover Travel & Tours Group Contract and will be subject to our standard Terms and Conditions .

MEMBERSHIP

Listing on the Discover Travel & Tours groups websites will be FREE of charge until 31st December 2007. Subsequent year’s membership fee will be 1% of the previous year’s turnover generated by Discover Travel & Tours.

ADVERTISING

You can if you wish take advantage of our optional low-cost advertising. Group Organisers viewing your free listing can click a “see more details” button to view a full web advertisement which you can update online as often as you like. The cost is just £200+VAT (€300) for 1 page or £500(€700) for 5 pages for a whole year.

ACCURACY OF INFORMATION

After the initial completion of the questionnaire (see below) you can visit the site at any time thereafter to update information online. This should ensure that details shown about your services on the site are accurate and up to date. Discover Travel & Tours will not accept responsibility for claims arising out of inaccurate or misleading information shown about your services.

TERMINATION

Participation in the Discover Travel & Tours groups websites will continue until you notify us in writing at our registered address of your intention to withdraw from membership at the end of the current operating season. All confirmed bookings placed through the Discover Travel & Tours websites up the date of withdrawal from membership will be honoured by you on current membership terms.

DEADLINES

For each group booked we will email you by 18.00 hrs 28 days prior to arrival to reconfirm or cancel the booking. For reconfirmed tours we will advise on rooms sold and release the majority of unsold rooms, retaining an allocation of 4 rooms to allow the group to continue selling. Any unsold rooms in the allocation of 4 rooms will be released back to you by 18.00hrs 7 days prior to arrival. Provided that these terms are adhered to no penalty or cancellation charge shall be levied by the hotel.

PAYMENT

You claim payment from Discover Travel & Tours on completion of the tour, for settlement within 30 days by BACS transfer directly into the hotel bank account. A remittance advice will be issued by us with every payment.
